The Ministry of Foreign Affairs and Trade (“MFAT”) will hold and use your job application (including any supporting documents you submit) for the purpose of assessing your suitability for the position you have applied for.

Only those MFAT staff members or agents acting on behalf of MFAT who are involved in the recruitment process you are involved in will have access to your personal information.  Such access will only be to the extent necessary to fulfil their respective tasks. These staff members and agents are, for example, our recruitment team, HR employees, and the relevant hiring managers and interview panels.

MFAT also uses job application data for reporting purposes to better understand and improve our recruitment processes and to deliver on the Ministry’s strategic plan. Demographic information is also reviewed and analysed to support working towards the goals outlined in MFAT’s Diversity and Inclusion Strategy.

MFAT is committed to taking active measures to develop a workforce that reflects the diversity and differences of the New Zealand we represent.

MFAT will not disclose your personal information to any other third party without your prior authorisation, except in a review of appointment situation, or as may otherwise be required by law.

If you are successfully appointed to a position at MFAT your application information will form part of your employee record.

MFAT makes all reasonable efforts to secure its systems and ensure the confidentiality and security of your personal information. 

MFAT will keep your personal information for as long as it is required for the purpose it was provided.

You have the right to access your personal information and to request MFAT to correct your personal information.
